Role

The Executive Assistant is a core in-office role in all of our sales offices. We are looking for someone who is highly detail-oriented and enjoys working within a fast-growing, rapidly changing environment that is mission-driven and people-first. The ideal individual will be strategic and tactical, can exercise good judgment in various situations, have strong written and verbal communication, have administrative and organizational skills, and maintain a realistic balance among multiple priorities.

Responsibilities: Front End | Agent Facing Behaviors

  • Serves as the face of the office by welcoming and coordinating guests and providing a high-touch experience
  • Builds and nurtures relationships with all customers in the office through frequent touch bases throughout the day
  • Provides services including but not limited to: recognition, networking, community, and retention
  • Maintains office environment by ensuring the office stays clean, stock and organized throughout the day
  • Answer and direct all incoming calls to the appropriate parties
  • Attends office events and meetings and solve problems as they occur
  • Work collaboratively with other team members and departments to champion questions and feedback on behalf of agents
  • Assist with lead generation and marketing follow-ups to drive new business

Back End | Administrative Tasks

  • Provide general administrative support: calendar, contract, listings, and vendor management; keep the agency’s operations organized and efficient; maintain and manage team drives
  • Facilitate transactions from start to finish: create new listings, write up contracts and other necessary paperwork, monitor the progress of multiple deals, communicate with the parties involved, and provide support where needed
  • Responsible for financial systems including maintaining records and processing commissions
  • Draft professional memos, letters and other business documents as needed
  • Multi-task and manage time in a high pressure, fast paced environment in a calm and collected manner
  • Provide basic marketing support by answering questions, creating collateral from templates, and being the liaison to marketing specialists for more complex support requests
  • Create, manage and execute day-to-day social media strategy, content and campaigns
  • Utilize templated content created by Compass to plan monthly editorial calendar across platforms, assisting with photoshoots and content creation

  • BA/BS in business administration or related field strongly preferred
  • Excellent organizational skills, proactive, driven and great with people
  • Are a resident of Westchester County (this is an on-site, full-time office position)

The base pay range for this position is $65,000-$80,000 annually, with potential for an additional bonus based on company, team and individual performance; however, pay offered may vary depending on job-related knowledge, skills, and experience. Base pay is based on market location. Minimum wage for the position will always be met.
