Job Description

ProMach is looking for a Leave of Absence Administrator who is responsible for oversight and management of US and Canada leave of absence administration.

This person will monitor and apply local, state/province, and federal laws, including FMLA, ADA, U.S. worker’s compensation/Canadian occupational injury/illness leave laws, USERRA, and FLSA, as well as our short- and long-term disability programs and PTO plans, among others.

The mission of the position is to provide expertise in these areas to manage the complexity of the legal, insurance, and company policies to skillfully manage all leaves of absence, maintain legal compliance, and efficiently assist the company and employees throughout the span of necessary leaves of absence.

The following describes the major job duties and requirements of the position. However, more responsibilities may be added.

  • Manage all federal, provincial, state, local, and company leave laws and programs, ensuring that requirements are met, and proper documentation is maintained.
  • Maintain in-depth knowledge of legal requirements related to leave administration.
  • Closely partner with and manage a Third Party Leave Administrator.
  • Consult with HR and EHS management to provide guidance and interpretation of leave policies and programs, evaluate requests, and determine next steps.
  • Build or modify all related leave policies.
  • Maintain communication with employees on leave to facilitate smooth, timely, and safe return to work, relaying communication between employees and their field HR partners as necessary during the leave.
  • Conduct training and meetings with the HR team to provide updates and support in managing leave requirements and regulations.
  • Work with company’s payroll department to ensure that time and attendance records are managed in accordance with applicable laws and company policies.
  • Work with the HR and EHS teams to ensure that employees going on leave are seamlessly off-boarded, and those returning are seamlessly re-onboarded.
  • Ensure data integrity in the company’s HRIS for proper leave coding and produce reporting metrics and analytics for all leave cases and workers’ compensation claims.
  • In conjunction with HR leadership, update and maintain all required leave of absence notices and forms.

Summary of Qualifications:

  • Bachelor’s degree in Human Resources, or a related field, and three (3)+ years of benefits administration and leave management experience.
  • Highly skilled at managing day-to-day benefits administration and leaves of absence processes.
  • Comprehensive knowledge and understanding of benefit plan administration and leave management.
  • Strong ability to manage relationships with third-party benefits administrators and insurers.
  • Strong understanding of U.S. federal and state leave laws (FMLA, ADA, PFL, etc.) and Canadian federal and provincial regulations (e.g., ESA, QPIP).
  • Exceptional communication, interpersonal, and organizational skills.
  • Proven ability to manage sensitive and confidential information.
  • Strong analytical and problem-solving skills; ability to work independently and prioritize effectively across multiple jurisdictions.
  • Demonstrated experience with HRIS systems, specifically Workday.
  • Experience interacting with payroll on benefits administration and leave management.
  • Bilingual in English and French (preferred but not required).
